How Urban Office delivered a complete office fit-out in 45 days  (Case study)

Most commercial fit-outs of this size drag on for 8 to 12 weeks. We finished it in exactly 45 days. We handled everything end-to-end under a single contract.

The brief was simple to state and hard to execute. Build a fully functional office for a finance company on a bare shell in 45 days. No existing partitions. No electrical lines. No ceiling. We had to build everything from the floor up.

A 45-day timeline on 5,800 sq ft is rare. Trades usually work in sequence. Civil finishes. Then electrical. Then the ceiling. Then flooring and furniture. Everyone waits their turn. To hit 45 days, Rajesh Gupta restructured the schedule. Multiple trades worked at the exact same time across different zones of the floor.


Week 1 to 2: design lock and procurement


The first 10 days carried the highest risk. And they happened before anyone picked up a hammer. Design sign-off on day 1 triggered two immediate actions. Civil drawings went to the site team. Furniture orders went straight to our in-house manufacturing unit.

Most contractors wait for civil work to finish before finalizing furniture specs. Layouts can shift during construction. On a 45-day timeline, you don't have that luxury.

Rajesh locked the furniture specification on day 1. We allowed zero changes once production started. The order included our UO-WS105 workstations featuring 25mm pre-laminated particle board, MS square legs, and built-in wire raceways. We added UO-CT101 cabin tables and mid-back mesh task chairs from our UO-OC101 to UO-OC109 range. In-house manufacturing meant production fired up on day 2.

By day 10, civil layout marking was complete on-site. Electrical material was in transit. Furniture production hit the 20% mark at the factory. Three workstreams moved at full speed from a single design sign-off.

Pro tip: On any fit-out under 60 days, lock your furniture specification on day 1 and place the order immediately. Furniture lead time from an in-house manufacturer takes 2 to 4 weeks. Wait for civil completion, and that lead time eats directly into your handover date.


Week 2 to 4: civil, electrical and false ceiling parallel work


This is where the schedule compression happened. Prakash Sharma's daily site presence made it possible. We split the floor into 3 working zones. As civil partition work finished in Zone 1, the electrical team started rough-in work there. Civil work continued moving through Zones 2 and 3. By the time electrical rough-in was underway in Zone 1, the false ceiling team started their layout work.

Running 3 trades across 3 zones meant Prakash managed civil, electrical, and ceiling work on the same floor every single day. A coordination load this heavy requires a full-time site supervisor. He knew the layout perfectly. He made real-time calls about sequencing.

The electrical and false ceiling interface ruins most project timelines. Conduit runs and ceiling grid layouts conflict if you plan them separately. We finalized the electrical and ceiling layouts together during the design phase. They fit perfectly on-site.

We used a gypsum board and grid combination for the false ceiling. It cost about ₹95 to ₹120 per sq ft installed. This aligns perfectly with typical Jaipur rates of ₹80 to ₹140 per sq ft. By the end of week 4, civil work was complete across all 3 zones. Electrical rough-in passed testing. The false ceiling installation was largely finished in Zones 1 and 2.


Week 4 to 6: flooring, furniture and finishing


Flooring started in completed zones while the ceiling team finished the rest. We installed vitrified tile in the reception and customer-facing areas. Workstation zones got vinyl flooring. Vinyl stays cooler underfoot during Jaipur summers. It also handles regular client footfall easily.

Furniture arrived from the factory right on schedule in week 5. We installed workstations zone by zone. Desks went into areas with cured flooring and fresh paint. Finishing work continued in the last zone.

The final 5 days focused on snagging. Prakash walked every zone with a strict checklist. He tested power and data points. He checked partition doors for squareness. He inspected the flooring for hollow spots and tested every furniture drawer. We fixed a few minor items, applied touch-up paint, and realigned two ceiling tiles.

We handed over the keys on day 45. Capri Loans walked into a fully fitted, active office. Workstations, cabins, meeting rooms, reception, and pantry were tested and ready.


Why 45 days worked here


A few specific conditions made this timeline realistic.

The floor was a bare shell. We had zero existing infrastructure to demolish. Demolishing an existing fit-out adds 1 to 2 weeks instantly. A clean shell completely removes that step.

The client signed off on the design on day 1. We had zero changes during execution. Every time-saving move depended on a locked layout. A single layout change mid-project would have destroyed the parallel-zone sequencing.

The client decision-making chain was incredibly short. Rajesh worked with one contact at Capri Loans. That person approved material samples within a day. Multiple stakeholders often take weeks to approve finishes.

45 days is achievable on a 5,000 sq ft bare-shell project with a locked design and fast client approvals. It is not the right target for every project. A 15,000 sq ft floor or an evolving design needs a realistic timeline built around those facts.

Is a 45-day office fit-out realistic for every project size? 

It works for bare-shell projects in the 4,000 to 7,000 sq ft range with a locked design and fast approvals. Larger floors have more trade interfaces. For most 8,000 to 15,000 sq ft projects, 10 to 14 weeks is a much more realistic planning target.

Does a faster timeline mean lower quality? 

Not if you save time through better sequencing. We kept every quality check. We completed the full snagging process, electrical testing, and inspection sign-offs. We saved time by overlapping trades and removing approval delays.

What is the biggest risk in compressing a fit-out timeline? 

Material lead times outside the contractor's control present the biggest risk. Glass partitions and custom items have long production cycles. A solid schedule builds buffer time around these specific items.

How does an in-house manufacturing unit affect the timeline? 

It eliminates a massive lead-time variable. External vendors take 6 to 10 weeks to deliver furniture. Our in-house unit started production on day 2. The furniture arrived exactly when the site was ready for it.
