Office lighting design guide

An office lighting design guide helps you plan lights before ceiling work starts. In Jaipur offices, lighting affects screen glare, eye comfort, AC load, client-facing areas, and the final look of the workspace. A good lighting plan starts with the furniture layout, workstation direction, daylight, ceiling height, and room use. Once the ceiling is closed, every light change costs time.

Why office lighting should be planned with the layout

Lighting should follow workstations, meeting tables, cabins, reception, and walkways.

If lights are placed before the furniture layout is frozen, they may fall behind chairs, above partitions, or directly on screens. That creates glare, uneven light, and dark patches on work tables.

Layout first, lights next.

In Jaipur, daylight is a big factor. Offices on Ajmer Road, Tonk Road, Mansarovar, Vaishali Nagar, Malviya Nagar, and Sitapura can get harsh afternoon sun, especially on west-facing glass sides.

That sunlight can help in the morning and become a problem after lunch. Blinds, glass film, workstation direction, and light placement should be planned together.

On a recent IT office project in Vaishali Nagar, the first lighting plan looked clean on paper. After checking workstation direction and window glare, we shifted a few light rows and changed the placement of the discussion area.

Small change. Big daily comfort.

Office lighting design guide for Jaipur offices

Start with lux.

Lux measures how much light reaches a surface. In an office, the surface is usually the desk, meeting table, reception counter, or floor.

The WELL Building Standard says if ambient light at workstations is below 300 lux, task lights of 300 to 500 lux should be available at the work surface.

For Indian lighting reference, BIS publishes standards through its standards portal. Lighting designers often refer to IS 3646 for interior illumination guidance.

For office planning, use these early targets with your lighting designer or electrical consultant.

Office areaPlanning lux range
Open workstation area300 to 500 lux
Detailed work area500 lux
Meeting room table300 to 500 lux
Reception desk300 to 500 lux
Corridor or passage100 to 150 lux
Pantry200 to 300 lux
Store room100 to 200 lux
Server or IT room300 to 500 lux
Display wall or branding wallDepends on finish and viewing angle

These are planning ranges. The final level depends on ceiling height, light type, wall colour, glass, furniture finish, and daylight.

Dark ceilings and dark furniture absorb more light. White ceilings and light walls reflect more light. Glossy surfaces can create glare.

Plan lighting by room use

Every office area needs a different lighting approach.

A workstation area needs even light without screen glare. A meeting room needs table light and display-wall control. A cabin needs desk light and visitor seating light. A reception needs a clean face for visitors and staff.

Here’s a practical room-wise plan.

AreaWhat to plan
WorkstationsEven ceiling lights, low glare, no direct beam on screens
CabinsDesk light, soft visitor area light, wall light if needed
Meeting roomsTable light, display control, dimming where useful
Conference roomsLight zones for table, screen, and speaker area
ReceptionCounter light, waiting area light, logo wall light
PantryCounter light, safe light near appliances
CorridorsClear movement light, exit signs where required
Server roomBright service light and clear switch access
Store roomSimple light with easy switch position

For IT companies in Jaipur, workstation lighting needs extra care. Developers, designers, support teams, and finance staff sit in front of screens for long hours.

Place lights between workstation rows where possible. Avoid placing a strong light directly behind the user or directly above the screen line.

Control glare, shadows, and Jaipur sunlight

Bad lighting usually shows up as glare, shadows, or uneven light.

Glare happens when a light source or window reflection hits the eyes or screen. Shadows happen when the person blocks the light falling on the work surface. Uneven light happens when one area is bright and the next area feels dull.

Jaipur sunlight can make this worse.

A west-facing glass office can get sharp light during summer afternoons. If workstations face the wrong way, staff may keep blinds closed all day. Then the office depends fully on artificial lighting.

Plan these early:

  • Workstation direction
  • Window blinds
  • Glass film
  • Light rows
  • Screen position
  • Partition height
  • Ceiling height
  • Wall and furniture colours

Use matte surfaces where glare is likely. Glossy white tables and polished floors can reflect too much light in some rooms.

For conference rooms, avoid strong light on the display screen. Keep a separate light zone near the table and reduce light near the screen wall.

Pro tip: Check lighting on the actual workstation line before final ceiling closure. A 10-minute site check can prevent glare across 30 seats.

Choose the right fixtures and colour temperature

Office lighting uses different fixture types.

LED panel lights are common in workstation areas. Linear lights work well in long rows and meeting rooms. Downlights are useful in cabins, reception, and passages. Track lights work well for logo walls, display walls, and selected visual areas.

For most office work areas, 4000K neutral white is a safe choice. It feels clean without looking too cold. Warm white can work in reception, lounge, and waiting areas. Cool white may feel harsh if used everywhere.

Check these before buying lights:

  • Wattage
  • Lumens
  • Beam angle
  • Colour temperature
  • Colour rendering index
  • Glare rating, where available
  • Driver quality
  • Brand warranty
  • Cut-out size
  • Ceiling compatibility
  • Service access

Colour rendering index, or CRI, tells you how naturally colours appear under a light. For offices, ask for CRI 80 or above in most areas. For fabric samples, product display, or brand walls, higher CRI can help.

Fixture depth matters too. Some commercial floors in Jaipur have low ceiling height after AC and electrical work. A bulky light may clash with ducts, pipes, or ceiling frames.

Coordinate lighting with ceiling, AC, electrical, and furniture

Lighting can’t be planned alone.

It touches ceiling design, electrical wiring, AC grills, fire alarm points, sprinklers, CCTV, speakers, and workstation layout.

Before ceiling work starts, coordinate these drawings:

  1. Furniture layout
  2. Ceiling layout
  3. Lighting layout
  4. Electrical point layout
  5. AC indoor unit and grill layout
  6. Fire alarm and sprinkler layout, where applicable
  7. CCTV and access control layout
  8. Speaker or AV layout, where needed

If a light clashes with an AC cassette, the site team will move one of them. If a light falls over a glass partition, it may create a strange bright strip on one side and weak light on the other.

For modular offices, lighting should match workstation rows. Urban Office workstation specs often use 25mm pre-laminated particle board tops, MS square legs, fabric or glass screens, and built-in 150mm wire management raceways. The workstation direction affects power, data, ceiling lights, and AC throw.

This is why lighting should be part of the full office plan, not a late electrical item.

Urban Office has worked on 300+ office projects and delivered 17 lakh sq. ft. of workspace across Jaipur, Ajmer, Alwar, Sikar, and nearby Rajasthan cities. Jaipur projects include Formidium Corp in Malviya Nagar, LMDmax Corp in Mansarovar, Celebal Technologies, Poonawala Fincorp, EMIAC Tech in Vaishali Nagar, Capri Loans, and Froiden Technologies.

Set a practical lighting budget

Lighting cost depends on fixture type, brand, wattage, driver quality, dimming, ceiling height, wiring, controls, and installation.

Here are broad Jaipur planning estimates. Final rates should come after site visit, ceiling layout, and lighting BOQ.

Lighting itemPlanning cost range in Jaipur
LED panel light₹800 to ₹2,500 per light
LED downlight₹450 to ₹1,800 per light
Linear LED light₹1,200 to ₹4,500 per light
Track light₹900 to ₹3,500 per light
Profile light₹250 to ₹700 per running ft.
Logo wall lighting₹5,000 to ₹35,000 per wall
Dimming control₹2,500 to ₹15,000+ per room
Motion sensor₹1,500 to ₹6,000 per point
Emergency light₹1,200 to ₹4,500 per unit
Lighting wiring and installation₹40 to ₹120 per sq. ft.

These are planning estimates. Imported fixtures, custom profiles, dimming systems, and premium brands can raise the cost.

Spend carefully in work areas, meeting rooms, reception, and client-facing spaces. Keep store rooms, back passages, and service areas simple.

Energy cost also matters. LED fixtures with good drivers may cost more at purchase and reduce replacement complaints later.

Test lighting before handover

Final lighting checks should happen after furniture is installed.

A light can look fine in an empty room and feel wrong after workstations, glass partitions, chairs, and monitors arrive.

Check these before handover:

  • Workstation lux level
  • Screen glare
  • Shadows on desks
  • Meeting table light
  • Display wall reflection
  • Cabin desk light
  • Reception counter light
  • Pantry counter light
  • Corridor light
  • Flicker or buzzing
  • Switch grouping
  • Dimming, if installed
  • Emergency lights, where installed
  • Loose fixtures
  • Driver access
  • Final cleaning of diffusers and lenses

Ask for switch labels in larger offices. Your team shouldn’t need 2 weeks to learn which switch controls which light.

For meeting rooms, test lights during a real screen presentation. For workstation areas, test with monitors on. For reception, test during the time of day when visitor movement is highest.

Lighting handover should include fixture list, warranty details, driver details, and a basic reflected ceiling plan. Keep these records. They help when a light fails or when the office expands.

Frequently asked questions

What is the ideal lighting level for office workstations?

For most workstation areas, 300 to 500 lux is a practical planning range. Screen-heavy teams should also check glare and reflection, because high lux with poor placement can still feel uncomfortable.

Ask your lighting designer to measure lux at desk height after installation.

Which colour temperature is best for offices?

4000K neutral white works well for most office work areas. It feels clean and steady for long working hours.

Warm white can work in lounge, waiting, and reception areas. Cool white should be used carefully because it can feel harsh across a full office.

How do I reduce screen glare in an office?

Plan workstation direction, window blinds, glass film, light rows, and screen position together. Avoid strong light directly above screen lines or behind the user.

Matte desk surfaces and controlled daylight also help.

Should meeting rooms have dimmable lights?

Dimmable lights are useful in meeting rooms with presentations, video calls, or client reviews. They let you reduce light near the display while keeping the table visible.

For small internal discussion rooms, simple switch groups may be enough.

How much does office lighting cost in Jaipur?

As a planning estimate, LED panel lights may cost ₹800 to ₹2,500 per light, downlights ₹450 to ₹1,800, and linear lights ₹1,200 to ₹4,500.

Full lighting wiring and installation can range around ₹40 to ₹120 per sq. ft., depending on fixture count, ceiling type, controls, and site condition.
