A ₹1,000 saving on 200 chairs looks useful until employees complain, gas lifts fail and matching spare parts disappear. Bulk chair buying needs more than a price comparison. Companies must check fit, components, standards, warranty, desk clearance and delivery inspection before issuing a purchase order.

Mistake 1: choosing by price and appearance

Compare the complete specification. A low price may come from fixed arms, a basic tilt mechanism, a lighter base, thinner foam, different upholstery or a shorter warranty.

Ask every supplier to quote against the same written specification.

Mistake 2: skipping employee and desk trials

Run a trial at real workstations. A showroom trial lasts a few minutes. Employees may use the chair for 8 hours.

OSHA advises buyers to try different chairs before purchase. Include employees of different heights, roles and sitting patterns.

Check whether armrests hit the desk and whether shorter employees can reach the floor and backrest at the same time.

Inspect before final payment. Open units from several cartons and compare them with the approved sample.

  7. Roll chairs on the actual floor.
