Office chair buying guide for Indian companies

3 August 2026 by

Buying 50 or 500 office chairs based on appearance and unit price can create years of complaints. Seat depth may suit taller employees and press behind shorter users’ knees. Fixed armrests may stop chairs from moving close to the desk. This office chair buying guide for Indian companies explains how to compare chair fit, materials, adjustments, testing, warranty and service before approving a bulk order.

Decide who will use each chair

Start with the user, work duration and desk setup. An employee who works on a computer for 8 hours needs more adjustment than a visitor who sits for 20 minutes. A training chair needs easy movement and storage, while a director’s chair may need a taller back and wider seat.

Create a chair schedule by role. Record employee role, daily sitting time, desk type, flooring, quantity, user range and maintenance responsibility before asking suppliers for quotations.

Planning detailWhat to record
Employee roleComputer work, calls, meetings, reception or visitor use
Daily sitting timeShort use, 3 to 5 hours, or most of the workday
Desk typeFixed desk, shared workstation, cabin table or meeting table
User rangeApproximate height and body-size range across the team
FlooringCarpet tile, vinyl, tile, stone or raised floor
QuantityCurrent need, spare units and planned hiring
Usage patternAssigned chair or shared by several employees
MaintenanceCleaning, repairs and spare-part responsibility

Shared workstations need chairs that employees can adjust quickly. Complicated controls often remain unused unless staff receive a short demonstration.

For a project at the scale of Urban Office’s 20,000 sq. ft. Formidium Corp office in Malviya Nagar, one chair model cannot sensibly cover workstations, conference rooms, cabins and reception seating. Urban Office has completed 300+ projects and delivered 17 lakh sq. ft. across Jaipur and nearby Rajasthan cities.

Office chair features to check

Adjustment range carries more weight than extra styling. OSHA says a well-designed and correctly adjusted chair supports the back, legs and arms while reducing awkward posture and contact pressure.

Seat height should allow the user’s feet to rest flat on the floor or on a stable footrest. The employee should be able to sit against the backrest while keeping the shoulders relaxed.

Seat depth should support most of the thighs while leaving a small gap behind the knees. A depth slider helps one chair fit shorter and taller employees.

Check the lumbar curve by sitting fully against the backrest. A separate adjustable lumbar pad can fit a broader user range than a fixed curve.

Height-adjustable armrests are a useful minimum for full-day task chairs. The arm pads should support the forearms without lifting the shoulders, and they should move below the desk edge.

A synchro-tilt mechanism lets the back and seat move at different rates during recline. A basic centre-tilt mechanism may suit shorter use. Ask employees to test the recline tension.

Use a stable five-leg base and castors suited to the floor. Ask the supplier to state the gas-lift specification, recommended user-weight capacity and warranty coverage.

Pro tip: Photograph the label under the approved sample. Add the model, mechanism, base, castors, fabric and colour to the purchase order.

Choose chair types by work area

Use the highest adjustment where sitting time is longest. Task chairs suit computer work, calls and routine desk activity. Look for adjustable seat height, lumbar support, recline tension and suitable armrests.

Urban Office’s UO-OC101 to UO-OC109 range covers mid-back mesh task chairs for workstation use. Its UO-OC110 to UO-OC118 range includes high-back executive chairs in leatherette and mesh options.

Executive chairs suit cabins where managers divide time between desk work, discussions and calls. Thick padding and a high back cannot correct poor seat depth or fixed armrest position.

Visitor chairs need stability, easy cleaning and enough comfort for the expected waiting time. A fixed frame usually suits reception and cabin visitors.

Conference chairs should allow people to move in and out without hitting the table. Oversized chairs can reduce room capacity and block circulation.

Training chairs may need stacking, nesting or tablet arms. Check the storage area and trolley requirement before ordering.

Check standards, warranty and bulk-chair costs

Ask for reports tied to the quoted model. BIS lists IS 17631:2022 for work chairs within India’s furniture conformity framework. Ask the supplier for current licence details, model coverage and Standard Mark information.

ANSI/BIFMA X5.1 is an international safety and performance reference for general-purpose office chairs. A broad statement such as “BIFMA quality” needs a report number and model reference.

Advanced ergonomic task chair₹15,000–₹30,000+Wider adjustment range

These are Urban Office planning estimates for Indian commercial projects in 2026. Check whether the quotation includes GST, transport, assembly and floor-wise delivery.

Compare purchase price, warranty exclusions, common spare-part prices, repair visits and replacement lead time. A lower unit price can create a higher three-year ownership cost.

Run a chair trial before ordering

Test the exact production model. Select 2 to 4 shortlisted chairs and place them at real workstations for several working days.

Include shorter and taller employees, frequent callers, dual-monitor users and people who spend most of the day seated. Ask them to record seat comfort, lumbar support, armrest position, heat, stability and ease of adjustment.

NIOSH says office work should avoid over-reaching, prolonged static positions and awkward posture. The chair trial should happen with the monitor, keyboard and desk in place.

Inspect cartons from different batches during delivery. Compare upholstery, stitching, base, castors, controls and labels with the approved sample. Keep the sample until the full order has passed inspection.

Give employees a five-minute adjustment session after installation. A printed card or QR-linked guide can show seat height, lumbar, armrest and tilt controls.

Frequently asked questions

Which office chair is best for employees working 8 hours?

Choose a task chair with adjustable seat height, sound lumbar support, suitable seat depth, adjustable armrests and a stable five-leg base. Test it with employees and the actual workstation.

Is a mesh chair suitable for Jaipur offices?

Mesh backs can improve airflow and feel comfortable in warm conditions. Check mesh tension, frame edges, lumbar shape and replacement support.

Should every employee receive the same chair?

A standard model can simplify purchasing and repairs when it fits most employees. Keep alternative sizes or individual changes available where required.

How do I check whether an office chair meets BIS requirements?

Ask the supplier for its current BIS licence number, applicable standard, model coverage and Standard Mark details.

How many spare chairs should a company buy?

A planning allowance of around 2% to 5% may suit a large order. Base the final quantity on growth, repair turnaround and model availability.
